This module explains the use of the quotation object, which is a Frisbii object.

Let's start with the fields dictionary, which allows you to orientate and customize the page layout according to your business needs.

Object

Description

Quotation

Similar to opportunities, quotations are your current deals and allow you to edit quotes (Quotation PDFs). You can create quotations, monitor them and modify them throughout the sales cycle. With Frisbii, invoicing is based on won quotations.


Now that we understand the aim of this object, we can go into detail in order to understand the different fields you can add to the page layout.

The fields of the object

Here is a list of fields by section.

Details

Record Name

Text (80)

  • Name of the quotation to be filled in.

  • The field is mandatory when creating the record.

  • Creating a flow you can set up an automatic renaming according to a convention established beforehand.

Account

Lookup (Account)

  • Links to the Salesforce object Account

  • This information is displayed on the PDF of the quotation

Contact

Lookup (Contact)

  • Links to the Salesforce object Contact

  • This Information displayed on the PDF of the quotation

  • Required if you would like to send the PDF by email.

Issuer

Lookup
(Corporate Name)

  • Links to the Frisbii object Corporate Name

  • This information is displayed on the PDF of the quotation

Type

Picklist

  • You can customize the values of this pick list, to set up several types of quotations according to your business needs.

Source

Picklist

  • This list qualifies the context in which the quotation is created: contact from website, partner, networking, exhibition...

Description

Long Text Area (32000)

  • Internal field, not displayed on the PDF of the quotation.

  • You can use this field to make comments to your colleagues.

Quotation Date

Date

  • By default, the date the quotation was created.

  • Used in the automation of billing from the quotation.

  • Displayed on the PDF of the quotation.

Valid Until

Date

  • If your customer/prospect has not confirmed the quotation within this period, the quotation is no longer valid.

Close Date

Date

  • The date on which the client accepts the quotation or is required to provide a response.

Forecast Category

Picklist

  • The sales cycle category to which a quotation is assigned.

  • Categories proposed by Frisbii: Omitted, Pipeline (default value), Best Case, Commitment, Booked

  • To be customized according to business needs.

Stage

Picklist

  • Communication/negotiation stage with the client/prospect.

  • Steps proposed by Frisbii: Identified, Qualifying, Negotiation, Won, Lost, Replaced.

  • To be customized according to the business need.

  • Can be used in the automation of invoice creation from the quotation.

Status

Picklist

  • Record Status: Draft, Revision required, Ready to send, Sent. To be customized according to business needs.

  • Can be used in automations to avoid processing quotations in draft, in revision or already sent.

Presentation

 

Subject Text (100)
  • To be filled in to be displayed as a title on the PDF of the quotation.
  • Conditional field on the PDF template: if the field is empty, it will not be displayed on the PDF.
Your Ref. Text (255)
  • Your reference: the reference you want to fill in for the customer (ex: purchase order number).
  • Conditional field on the PDF template: if the field is empty, it will not be displayed on the PDF.
Payment Method Picklist
  • The means agreed with the customer to pay the invoice.
  • To be customized from the global value set. (Trailhead : Share Values with Global Value Set)
Special Terms Text Area (255)
  • Allows you to enter the special conditions of the quotation.
Comments Text Area (255)
  • To be filled in to be displayed as a title on the PDF of the quotation.
  • Conditional field on the PDF template: if the field is empty, it will not be displayed on the PDF.
Show Product Details Checkbox
  • Allows you to display the details of the products on the PDF of the quotation.
  • Beware: The description field needs to be filled in the product linked to the quotation line item of the concerned quotation.
Show Detailed Description Checkbox
  • Allows you to display the detailed description of the products on the PDF of the quotation.
  • Beware: The detailed description field must be filled the quotation line item of the concerned quotation..
Show Discount Checkbox
  • If this box is checked, the discount rate of the quotation line items is displayed as a column in the main table of the quotation.
Show Terms Checkbox
  • Allows you to display the conditions on the PDF of the quotation.
Other Template Lookup (Template)
  • Allows you to set up another PDF template of the quotation previously set up.
  • This template will only apply to this quotation.


Amounts, discounts and special terms


Discount (%)

Percent

  • Bottom line discount rate (%).

Discount Reason

Text Area (255)

  • Reason for the bottom line discount. Displayed when the field Discount (%) is filled in.

  • This field is included in the PDF of the quotation/invoice.

Discount total

Formula (Currency)

  • Total discount amount of the quotation = Discount on quotation line items + bottom line discount.

  • Managed field (cannot be modified).

  • 2 decimals.

Discount total (%)

Formula (Percent)

  • Total discount percentage of the quotation = Discount on quotation line items + bottom line discount.

  • Calculation: Total discount/ Amount before any discount.

  • If there are no discounts, 0% is displayed.

  • Managed field (cannot be modified).

  • 2 decimals.

Amount incl. VAT

Formula (Currency)

  • Amount including VAT after any quotation discount.

  • Managed field (cannot be modified).

  • 2 decimals.

Amount excl. VAT

Roll-Up Summary (SUM Quotation Line Item)

  • Amount excl. tax after discount = Amount excl. discount - Total discount.

  • Managed field (cannot be modified).

  • 2 decimals.

VAT Amount

Formula (Currency)

  • VAT amount after any discount on the quotation.

  • Managed field (cannot be modified).

  • 2 decimals.

VAT (%)

Formula (Percent)

  • VAT percentage of the quotation = VAT amount after discount /  Amount excl. VAT after discount.

  • The VAT rate is indicated on the quotation line items.

  • Managed field (cannot be modified).

 

Invoicing

Invoiced Amount Formula
(Currency)
  • Sum of the amount of invoices issued and the amount of invoices in draft (linked to the quotation).
  • Managed field (cannot be modified).
Left to be invoiced Formula (Currency)
  • If the amount after discount is greater than the amount invoiced, the calculation is: Amount after discount - Amount invoiced.
  • Otherwise the amount remaining to be invoiced is 0€.
  • Managed field (cannot be modified).
Billing Plan Formula (Text)
  • Image that is displayed according to the percentage of the invoiced amount.
  • In order to display it, you must create an invoice (detailed) or a credit note from the quotation.
  • Managed field (cannot be modified).
Billing Schedule Lookup (Schedule)
  • Reference to the billing schedule
  • Managed field (cannot be modified).
Invoiced ex VAT (Issued) Currency (16, 2)
  • Displays the sum of the amounts before tax of the invoices issued related to this quotation.
  • Managed field (cannot be modified).
Invoiced ex VAT (Projected) Currency (16, 2)
  • Displays the sum of the amounts before tax of the invoices in draft linked to this quotation.
  • Managed field (cannot be modified).

Related objects

Opportunity Lookup (Opportunity)
  • Displays the opportunity linked to this quotation.
  • Allows you to associate an opportunity manually if the quotation has not been created from the opportunity.
Synchronize with Opportunities Checkbox
  • Allows to synchronize the two objects.
Accounting Data Lookup (Accounting data)
  • Links the Frisbii object Accounting Data.
  • The accounting billing information of an account.
Product Configuration Lookup (Product Configuration)
  • Allows you to add a product configuration
Price book Lookup (Price Book)
  • Displays the price book linked to this quotation.
  • Allows you to associate a price catalog manually.
Start date Date
  • For a subscription: invoicing start date, included in the subscription when the subscription is created from the quotation.
End date Date
  • For a subscription: invoicing end date, included in the subscription when the subscription is created from the quotation.
Frequency Picklist
  • Periodicity of the subscription, included in the subscription when the subscription is created from the quotation.
Type of Division Picklist
  • By amount or by quantity
  • Used for the creation of the subscription from the quotation.

Amount excl. Other Taxes

Number

  • Allows you to enter the taxes calculated at the quotation level.

  • Example: The American and Canadian taxes are calculated at the level of the total amount before tax of the whole document and not at the level of each line.

  • This field is used in the calculation of the total including all taxes of the quotation.

Amount excl. VAT before Discounts

Roll-Up Summary

(SUM Quotation Line Item)

  • Sum of the amounts excl. tax before any discount on the quotation items.

  • Managed field (not modifiable).

  • 2 decimals

Amount excl. VAT (line items)

Roll-Up Summary
(SUM Quotation Line Item)

  • Displays the sum of the amounts excluding VAT of all the quotation items related to the quotation (before bottom line discount).

  • Please follow this Salesforce article if you would like to manage Multiple Currencies.

  • Attention: the currency can be entered at several levels.

Default Template

Formula (Text)

  • Displays the PDF template of the quotation selected in the Corporate Name.

  • The name of the template is displayed as non-editable text.

  • Managed field (not editable).

Discount

Formula (Currency)

  • Formula: Amount excl. VAT * Discount rate

Discount (%)

Formula (Percent)

  • Takes over the Discount (%) field

  • Displayed to 2 decimal places instead of 4

Discount (line items)

Roll-Up Summary

(SUM Quotation Line Item)

  • Displays the sum of the discount amount of all quotation line items related to the quotation

External ID

Text(255) (External ID) (Unique Case Sensitive)

  • If the quotation is associated with a record in a third-party system, you can enter the offer ID from that third-party system here.

Language

Picklist

  • By putting this tag language="{!sofactoapp__Offre__c.sofactoapp__Langue__c}" in your quotation PDF  template, the language chosen on the quotation will be applied to the PDFs.

  • Beware: Like the VAT rate, the language can be configured at several levels (Account, Accounting data, Invoice or Quotation).

Number of PDF Quotations

Roll-Up Summary (COUNT PDF Quotation)

  • Displays the number of PDFs linked to this quotation

  • Managed field (not editable).

Payment Term

Picklist

  • The time period agreed with the customer to pay the invoice.

  • Refers to a set of global values (Trailhead : Share Values with Global Value Set)

    • X days net: X days from the start date

    • X days end of month: X days from the last day of the month

Reference PDF

Lookup (PDF Quotation)

  • If you do not specify a PDF template here, the default PDF template set up on the Corporate Name is used.

  • Administration: If you do not want to give users the option to choose a PDF template, remove this field from the page layout.

Template

Formula (Text)

  • Displays the PDF template of the offer applied on the Quotation.

  • If you have chosen a template other than the default template, it will be displayed here.

  • The name of the template is displayed as non-editable text.

  • Managed field (not editable).
