The quality of your Salesforce database directly determines the compliance of your electronic invoices. A missing or incorrect field, and the invoice gets rejected by the Approved Platform before it even reaches your customer. Here's how to prepare for it.

Why your database is a key issue

With paper or PDF invoicing, an error in a VAT number or an incomplete address often went unnoticed. With electronic invoicing, it's different: approved platforms run automatic checks on every invoice before transmission. A missing mandatory field means a rejected invoice.

Preparing your database is therefore the first real operational action before starting electronic invoicing.

Mandatory fields: a reminder

Fields that already exist (to check and clean up)

These fields probably already exist on your Salesforce accounts for issuing your invoices. The goal is to check them and fill in any that are missing.

On the Issuer account (your company):

  • Legal name

  • Legal form (SARL, SAS, SA, sole trader…)

  • Full registered office address

  • SIREN / SIRET number

  • Intra-Community VAT number (format: FR + 11 digits)

  • RCS number and registry's town of registration

  • Share capital

On the Customer account:

  • Legal name or customer name

  • Full billing address (street, postal code, city, country)

  • Delivery address if different from the billing address

  • Intra-Community VAT number (if the customer is a business subject to VAT)

On the invoice:

  • Invoice number (chronological, without gaps)

  • Issue date

  • Date of sale or service (if different from the issue date)

  • Precise description of goods or services

  • Quantity

  • Unit price excl. tax

  • Any discounts

  • VAT rate and amount per line, total excl. tax, total VAT, total incl. tax

  • Discount terms

  • Payment terms: due date

How to update your database in practice

Step 1 — Export your current accounts database

Export all your active accounts from Salesforce (report or SOQL export). Identify missing fields: SIREN, VAT number, full address, customer type.

Step 2 — Enrich missing data

To find missing SIREN numbers, several sources are available:

💡 For foreign customers, there is no SIREN (a French format). It's the intra-Community VAT number that should be entered on your International B2B Accounts in Frisbii.

Step 3 — Re-import into Salesforce

Once the data has been completed in a CSV file, use Salesforce's Data Import Wizard or Data Loader to bulk-update your Account records.

Special cases

Associations: an association only has a SIREN if it's registered in the SIRENE directory (it has employees, receives grants, or has a profit-making activity). If your association customer is subject to VAT, treat it as domestic B2B. Otherwise, it falls within the scope of e-reporting.

Customers under the VAT exemption scheme: a sole trader or micro-business under the VAT exemption scheme is subject to VAT but not liable for it. It is listed in the directory and has a SIREN.
