Creating, assigning, and changing IVW rules in Frisbii Media

Prev Next

Overview

IVW rules determine which sales from your offers are included in your IVW reporting lists and how they are categorized there. Based on the IVW rules, Frisbii Media automatically creates the reporting lists that you submit to the IVW (Informationsgemeinschaft zur Feststellung der Verbreitung von Werbeträgern e.V.). In this article, you learn which two types of IVW rules exist, when to use which one, and how to create and assign a rule. You also learn what happens when you change an IVW rule.

Limitations

  • Sales are only recorded from the moment data collection was activated. Sales made before that point cannot be reported retroactively.

  • Reports for paid content can only be created on a monthly basis.

  • For single products, you can only assign IVW rules for paid content.

Before you begin

  • The IVW Reporting module is booked and activated for the contracting company on the live system.

  • In the IVW settings, data collection is activated and an export interval is defined.

  • You have agreed the setup of your reports with your responsible IVW auditor.

What are IVW rules?

An IVW rule is a set of reporting parameters that you create in the client and then assign. For subscriptions, you assign IVW rules in the product contract; for single products, you assign them to the offer. Each time a reporting list is created, Frisbii Media checks which IVW rules are assigned and records the relevant sales under those rules. The sales appear in the reporting list under the reporting title that you define in the rule.

There are two types of IVW rules:

  • IVW rule for print – for copies delivered to subscribers, including e-papers.

  • IVW rule for paid content – for digital usage rights sold for apps and web offers behind a paywall.

Where you assign it

Which rule type should you use?

  • Use an IVW rule for print if you report printed copies or e-papers. The IVW treats e-papers like printed copies. You therefore report e-papers with a separate IVW rule for print.

  • Use an IVW rule for paid content if you sell access to digital content in apps or on websites behind a paywall. This is also the only rule type that you can use for single products.

  • If an offer contains both print and digital components, you can assign several IVW rules to the product contract.

For more information about the categories, see Which IVW categories can be mapped for the reporting procedure? If you are unsure how to classify an offer, contact your IVW auditor.

Step 1: Prepare the components (print only)

IVW rules for print combine data from several areas. Create these components before you create the rule:

  1. Create the delivery lists for your offers. The delivery list defines the publication dates.

  2. Create separate price sheets for your IVW rules: one for the full subscription price and, if required, one for other sales.

Note

Create separate price sheets for IVW rules and do not use them directly on offers. This way, price changes on your offers do not unintentionally change your IVW report.

Step 2: Create an IVW rule

Creating an IVW rule for print

  1. In the client, open Products → IVW rules.

  2. Click + Add IVW rule for print.

  3. Enter a reporting title and an internal title. Optionally add a description.

  4. Select the price type.

  5. Select the IVW type.

  6. Select the price sheet for the full subscription price and optionally enter the maximum upward and downward deviation as a percentage.

  7. Optionally select the price sheet for other sales and enter the maximum downward deviation.

  8. Click Save.

The new rule appears in the list under Products → IVW rules.

Settings for IVW rules for print

Setting

Description

Reporting title

Title under which the sales appear in the reporting list.

Internal title

Title that is displayed in the Merchant Backend, for example when you assign the rule.

Price type

Time-based reports the total revenue of the billing period defined in the offer. The revenues of all publication dates of the delivery list within the billing period are added up.
Issue-based reports the individual prices. The revenues of the publication dates within the billing period are reported individually.

IVW type

Subscription, student subscription, or single sale.

Full subscription price

Price sheet that defines the full subscription price. The optional upward and downward percentage deviations define the price range that still counts as the full subscription price, for example to account for discounts.

Other sales

Price sheet for sales that can be classified neither as a subscription nor as a single sale. Here, there is only a maximum downward deviation.

Creating an IVW rule for paid content

  1. In the client, open Products → IVW rules.

  2. Click + Add IVW rule for paid content.

  3. Enter a reporting title and an internal title. Optionally add a description.

  4. Enter the lower limits for the three price groups. In the field Price group A - Lower limit, you must enter at least 0.01.

  5. Optionally click the plus icon to add another row with price groups and a future validity date.

  6. Click Save.

The new rule appears in the list under Products → IVW rules.

Note

  • Reports for paid content are created monthly. In the price groups, do not enter the totalled prices of offers billed quarterly or annually; convert these prices down to one month instead.

  • With validity dates, you can store price changes in advance. Price groups with a validity date are applied as soon as that date is reached.

Step 3: Assign the IVW rule

An IVW rule only takes effect once it is assigned. Where you assign it depends on whether it is a subscription or a single product.

Subscriptions: assigning the rule in the product contract

  1. Open Products → Product contracts and open the product contract.

  2. Switch to edit mode.

  3. In the drop-down for the IVW rule, select one or more IVW rules.

  4. Click Save.

For print offers, make sure that the delivery list is also added to the offer. From the next run onwards, the sales of all offers that use this product contract are included in the IVW reporting list.

Single products: assigning the rule in the offer

  1. Open the offer in the detail view.

  2. Click Extended offer data.

  3. In the drop-down, select Assign IVW rules.

  4. Select one or more IVW rules for paid content.

  5. Click Save.

From the next run onwards, the sales of the single product are included in the IVW reporting list. You find the lists under Downloads, filed under their respective creation date.

Note

  • For single products, only IVW rules for paid content are available.

  • For subscription offers, you cannot assign IVW rules in the offer. The offer shows an overview of the IVW rules that are assigned via the product contracts.

What happens when you change IVW rules

Frisbii Media always uses the IVW rules that are currently stored. Reporting lists that have already been created are not changed.

  • You edit an IVW rule: all IVW entries created after the change use the changed settings.

  • You replace the IVW rule in a product contract or on a single-product offer: all IVW entries created after the change use the new rule.

  • Existing subscriptions: if you replace the rule in a product contract, existing subscriptions are also recorded under the new rule from the next run onwards. They do not keep the rule that was assigned at the time of purchase.

Example: your offer “Digital Plus” uses a product contract with the IVW rule “Paid Content A”. On 15 March, you replace the rule in the product contract with “Paid Content B”. The report for March, created on 1 April, records all subscriptions of “Digital Plus” – including those purchased before 15 March – under “Paid Content B”.

Note

If existing subscriptions are to continue being reported under their previous rule, do not replace the rule in the existing product contract. Instead, create a new product contract with the new rule. Agree changes to your report with your IVW auditor in advance.
