Preliminary Remarks
All relevant templates for correct automated communication with the end customer are available in the e-mail template area. Both headers and footers can be maintained. In addition, standard attachments such as general terms and conditions, cancellation policy and service description can be stored to ensure compliance with legal requirements. A Frisbii Media standard template is available for each template, which can be personalized.
Create e-mail template
To create an e-mail template, click on +Add Mail Template in the action bar or in the Mail Templates tab. 23 mail templates can be created and customized for a wide variety of situations. Whether these e-mails are sent depends on the Mail Settings that have been made in the contracting company or client.
Both your own HTML templates and the Frisbii Media standard templates can be stored in the editor.
In edit mode for mail templates:
Select the language in which the mail template is to be created.
Select the Template to be used.
When using the standard template, the subject is filled in automatically. If you want to create your own HTML template, the subject must be defined accordingly.
To use the default template, click on Use default template below the text field.
The layout of the e-mail can be viewed in the preview window. The HTML can be created and edited in the text field.
The template placeholders support the creation of HTML.
After saving, the template is saved as a draft. It must be approved before it can actually be sent. A banner shows whether a template has been approved or not.
If changes have been made to the template that has already been saved, they can be compared with each other by clicking on Template difference below the text field. This opens a new window, , in which the unpublished and the live version are compared with each other. The differences are highlighted in color.
Email templates that have not been approved can be approved by clicking on Approve in the action bar. Email templates that have already been approved can be set as the default. If a customer orders from a country, for which there is no template in the corresponding language, the template "set as default" is used. A preview email can be sent via the action bar. This is sent to the e-mail stored in the company data.
Customize header and footer
In the tab Header/Footer the header and footer can be maintained separately from the mail templates. These are adopted in standard templates from the global header and footer maintenance.
In the header area, for example, a link can be entered that leads to the company logo (e.g. to a PNG in the CMS) so that the logo is automatically displayed in all e-mail templates.
A text can be entered in the Footer area so that the emails comply with the legal requirements. You can also place links behind the text so that, for example, a reference to customer service with the correct e-mail address or URL is stored.
Here too, the template is first saved as a draft. After checking again, the template can be approved via the action bar.
Mail attachments
Under the tab Mail Attachments new attachments can be created via +Add Mail Attachment . Existing ones are displayed in the overview and can be deleted or edited via the action button.
The settings can be made in edit mode. First, a title must be defined for the attachment. Next, the attachment is added in the form of a PDF document. Finally, the attachment can optionally be assigned directly to one or more specific e-mail templates. This assignment is made via the drop-down menu Select mail templates.
