Synchronizing a quotation with an opportunity
You wanted to...
Synchronize the quotation with an opportunity linked to a different price book or currency
Message: Synchronization not possible, the price book or currency fields do not match the opportunity.
Explanation:
The purpose of synchronization is to have the same information in both objects. If you try to synchronize a quotation with an opportunity but the price books and/or currencies don't match, the validation will prevent this.
How to deal with this message:
Before synchronizing the quotation with the opportunity, by checking the Synchronize with opportunity box, check that the currencies and price lists are the same.
How to avoid this problem in the future:
If you often have the problem of different price books or currencies between the two objects you want to synchronize, you can:
consider creating the quotation from the opportunity, so that all the information from the opportunity will be included in the new quotation,
or create internal procedures that allow users to always choose the right currency and price book.
Modifying the opportunity linked to a synchronized quotation?
Message: Change of opportunity prohibited when synchronized quotation
Explanation:
In order to synchronize the quotation with an opportunity, you either manually create the link between the two objects using the Opportunity relationship field on the quotation, or by creating the quotation from the opportunity.
It is not allowed to replace the synchronized opportunity after this synchronization.
How to deal with this message:
If you made a mistake when creating the link between the two objects, and you absolutely must put another opportunity in its place, you can:
Option 1:
- Check that the currency and price book are the same on both objects.
- Uncheck the Synchronize with opportunity box.
- Change the opportunity.
- Check the Synchronize with opportunity box again.
Option 2:
If:
You have just created the quotation,
The quotation was not sent to the customer,
There is no invoice created from this quotation.
Only if these conditions are met, you can delete this quotation and create the quotation from the opportunity.
How to avoid this problem in the future:
You can systematically create quotations from opportunities, so you don't have to make the link later.
If this is not possible, you can document the precautions to be taken before synchronization and share them with the Frisbii users who perform this task.
Synchronizing a quotation line item with an opportunity product that references another quotation line item?
Message: The opportunity product referenced by the quotation line item is not valid.
Explanation:
During synchronization, there is a validation that checks the consistency of the link between the quotation line item and its opportunity product. In both records, there is the Id of the other record. If this link does not match during synchronization, you will receive this error message.
How to deal with this message:
Please check if you are synchronizing the quotation with the right opportunity. The opportunity may already be linked to another quotation. You can check this by looking at the associated list of opportunities. If you see another quotation, you are probably mistaken.
How to avoid this problem in the future:
Please read this article Synchronization with opportunities to check your current approach to synchronizing the two objects. If you feel that everything is fine, but the message still occurs regularly, please contact our support team to check your current configuration/approach.
