Preliminary notes

In the Template Designer for order confirmations, you customize the template for the order confirmation PDF that your customers receive after placing an order. Besides the order confirmation PDF, you can also customize the invoice PDF individually. For this, there's the Template Designer for invoice templates.

The editing mode is laid out so that you can immediately see which information is displayed at which position on the PDF.

Note

Changes to the template don't go live immediately. Saving first creates a draft version; your customers continue to receive the previous live version until you release the draft. You can find out how to do this in the Approve draft section below.


Configure the order confirmation template

  1. Choose design
    Open the Template Designer and click Choose design. The design determines the basic graphic properties of the template; the following options let you customize it further.

  2. Logo position
    Choose Left, Centered, or Right. The Text 1 field shifts automatically depending on your selection.

  3. Logo
    Use Browse to upload your company logo (PNG, max. 1,000 KB). The image is automatically scaled to 40 × 130 mm. If you don't upload a logo, this space stays empty.

  4. Text 1
    Enter, for example, your contact details in the free-text field. Up to 5 lines with max. 100 characters each are available; you can format the text using Bold and Italic.

  5. Sender address line
    Enter the sender address. It appears on a single line above the recipient information, e.g. for the address shown in the envelope window.

  6. Order details
    Choose whether the customer number, order ID, and order date are displayed as Data below or Data alongside.

  7. Heading position
    Set whether the "Order confirmation" heading appears left, centered, or right.

  8. Text 2
    Optionally add a greeting text that appears above the order table (max. 4,000 characters).

  9. Table content & address display
    Configure which additional information is displayed alongside the product name in the Description column: enable the checkboxes you want (Show cancellation period, Show units of consumption-based offers, Show legal notices, Show additional title description), and choose the desired format under Address display via the drop-down menu, e.g. Full address.

  10. Text 3 and Text 4
    Optionally add further free text that appears below the table (max. 4,000 characters each).

  11. Footer columns
    Fill up to 4 footer columns with, for example, contact or legal information. Each column has a fixed position on the template and can hold up to 8 lines. Individual columns can be left blank.

  12. Save
    Click Save in the bottom right to save your changes.

After saving, a new draft version of your template is created. It isn't used automatically yet — your customers continue to receive the previous live version until you release the draft.


Approve draft

For your changes to actually take effect, you need to actively approve the draft after saving:

  1. Click Details and review the draft once more.

  2. In the action bar, click Approve draft.

Once the draft is released, it becomes the new live version and is used for all new order confirmations from that point on.

Note

Releasing permanently overwrites the previous live version. This action cannot be undone.
